Although the data we hold about you is extremely limited, we appreciate that how we use it is important to you, and we should be transparent about how we use it.

Below, you’ll see the privacy practices for our applications, software, websites, API’s, products and services. In them, we clearly explain the types of data we collect, the way we use it, how we keep it safe and what you can do to control the information we hold.

Information we collect.

Using our services requires us to collect the following types of information.

Account information.

Creating an account will normally require information such as your name, your company name, your email address, your company address and your company telephone number. In certain instances, such as time-critical deliveries, we may also ask for a mobile phone contact number.

Additional Information.

To help improve your experience you may choose to provide us with additional information – for example we like to recognise things like your birthday when we’ll typically bring you a birthday card and cake to celebrate.

Your deliveries will often be delivered to customers who are not our clients. This will require their name, their company name, their company address and their company telephone number. In certain instances, such as time critical or out of normal working hour deliveries, we may also ask for a mobile phone contact number and the delivery address details.

We do not access social networking accounts and if you respond to us in a survey, contest, or promotion, we collect the information you submit such as your name, contact information and message.

Information from third-party services.

If you choose to connect to us on services such as Twitter, Instagram and Facebook we may receive information like your name, profile picture, age range, language, e-mail address and friend list. You can stop sharing the information from the other service with us by removing our access to that other service.

We can support payments and transactions with third parties via credit card. If you choose to pay via this method you will need to provide specific information for identification and verification, such as your name, payment card number, card expiration date and CVV code. This information is encrypted and transmitted to our card network, which upon approval prints a copy of the transaction showing the last 4 digits of your card number, your card issuers name and contact information.  This validation is attached to the relevant invoice which is currently kept for 7 years under U.K tax laws.

The third-party payment processors we use are fully GDPR compliant.

Information we receive from your use of our services.

The data we collect varies according to use, but will normally show collection and delivery points, a booking reference, miles travelled, the vehicle type, time of delivery, and confirmation of delivery including signature of recipient, and price. This data is transferred to our processing software (Journease) and our accounts software (XERO) and (SAGE) and held on their secure servers. Each of these companies have their own privacy policies and terms and conditions. 

Location information.

Communicating with us via our ‘live chat’ Zendesk software facility on our website will show us a general IP address which will show which country you’re in, and the pages you visited on our website. We do not record or hold this data. You can review Zendesk terms and privacy policies here

Usage Information

When you access or use our Services, we receive certain usage data.

This includes information about your interaction with our Services, for example, when you view or search content, create an account, make an enquiry or book a job.

We also collect data about the devices and computers you use to access our Services, including IP addresses, browser type, language, operating system, mobile device information (including device and application identifiers), the referring web page, pages visited, location (depending on the permissions you have granted us), and cookie information.

Other Special Categories of Personal Data

To the extent that information we collect is personal data subject to the European Union’s General Data Protection Regulation (“GDPR”), we ask for your explicit consent to process the data. The data typically includes your name, business e-mail, business phone number, company name and address. You can withdraw your consent at any time, including by contacting us, removing your access to a third-party service, or requesting we delete your data or your account.

How We Use Information

We use the information we collect for the following purposes.

To Provide and Maintain our Services

The information we collect ensures we can deliver our Services to you and fulfill our Terms of service contract with you. For example, we need to use your information to provide you with confirmation and tracking of your deliveries, general delivery activity and other key services; and to give you customer support.


 Improving, Personalising and Developing our Services

The information we collect is used to improve and tailor our Services and to help develop new ones. For example, we use the information collected to identify problems and possible solutions, to analyse and test data; conduct research and surveys; and generally, improve our Services.

We also use your information to make inferences and show you more relevant content. Here are some examples:

Information like your delivery activity statistics help us look for ways to identify potential cost savings, perhaps using sameday delivery in place of next day for heavy, fragile or valuable consignments.

Communicate with You

We use your information when needed to send you Service notifications such as collection and delivery times, advise of problems and respond to you when you contact us. We also use your information to promote new services or products that we think you would be interested in. You can control marketing communications and most Service notifications via the “Unsubscribe” link in an email.

Promote Safety and Security

We use the information we collect to ensure the safety and security of our Services, our users, and other parties. For example, we may use the information to authenticate users, facilitate secure payments, protect against fraud and abuse, respond to a legal request or claim, conduct audits, and enforce our terms and policies.

For personal data subject to the GDPR, we rely on several legal bases to process the data. These include when you have given your consent, which you may withdraw at any time by e-mailing us at privacy@grabbitandrun.com; when the processing is necessary to perform a contract with you, like the Terms of Service; and our legitimate business interests, such as in improving, personalising, and developing our Services, marketing new features or products that may be of interest, and promoting safety and security as described above.

How Information Is Shared

We do not share your personal information except in the limited circumstances when you agree or direct us to share.

You can authorise us to disclose your information to others, such as when you are sending an urgent time-sensitive consignment, which requires rapid and ongoing communication.

You may also authorise us to share your information with others, for example, with a third-party application such as sending parcels or consignments via the sameday, overnight or international delivery networks. Remember that their use of your information will be governed by their privacy policies and terms. You can revoke your consent to share with third-party applications by contacting us via e-mail at privacy@grabbitandrun.com

For External Processing

We transfer limited information to our corporate service providers, and other partners who process it for us, based on our instructions, and in compliance with this policy and any other appropriate confidentiality and security measures. These partners provide us with services globally, including for delivery, customer support, information technology, payments, sales, marketing, data analysis, and research.

For Legal Reasons or To Prevent Harm

We may preserve or disclose information about you to comply with a law, regulation, legal process, or governmental request; to assert legal rights or defend against legal claims; or to prevent, detect, or investigate illegal activity, fraud, abuse, violations of our terms, or threats to the security of our Services or the physical safety of any person.

Please note: Our policy is to notify you of legal process seeking access to your information, such as search warrants, court orders, or subpoenas, unless we are prohibited by law from doing so. In cases where a court order specifies a non-disclosure period, we provide delayed notice after the expiration of the non-disclosure period. Exceptions to our notice policy include, for example, when there is an emergency involving a danger of death or serious physical injury to a person.

We may share non-personal information that is aggregated or de-identified so that it cannot reasonably be used to identify an individual. We may disclose such information publicly and to third parties, for example, in public reports about delivery activity, or to partners under agreement with us.

If we are involved in a merger, acquisition, or sale of assets, we will continue to take measures to protect the confidentiality of personal information and give affected users notice before transferring any personal information to a new entity.

Your Rights To Access and Control Your Personal Data

Accessing and Exporting Data. By contacting us, you can request that we do not share or transfer your information to other third-party service providers.

If you choose to delete your account with us, please note that while most of your information will be deleted within 30 days, it may take up to 60 days to delete all your information. We may also preserve data for legal reasons or to prevent harm, including as described in the How Information Is Shared section.

Objecting to Data Use. You have the option to control our data use. For example, you can limit how your information is shared to other third-party service providers by contacting us via e-mail; you can also limit the notifications you receive from us; and limit the access of third-party applications.

If you live in a Designated Country, in certain circumstances, you can object to our processing of your information based on our legitimate interests, including as described in the How We Use Information section. You have a general right to object to the use of your information for direct marketing purposes, and to control our marketing communications to you about Grabbit & Run products or services. Restricting or Limiting Data Use. In addition to the various controls that we offer, if you reside in a Designated Country, you can seek to restrict our processing of your data in certain circumstances. Please note that you can always delete your account at any time.

Data Retention

We keep your account information, like your name, email address, phone number and business address for as long as your account is in existence because we need it to operate your account. We also keep information about you and your use of the Services for as long as necessary for our legitimate business interests, for legal reasons, and to prevent harm, including as described in the How We Use Information and How Information Is Shared sections.

Analytics and Advertising Services Provided by Others

We do not work with partners who provide us with analytics or advertising services.

Our International Operations and Data Transfers

We operate in the U.K. and transfer information to the United States and other countries for the purposes described in this policy.

We rely on multiple legal bases to lawfully hold personal data. INFORMATION WE COLLECT

When you use our Services, we collect the following types of information.

ACCOUNT INFORMATION

Some information is required to create an account on our Services, such as your name, email address, business address, and contact numbers including in some cases your mobile telephone number. This is the only information you must provide to create an account with us.

ADDITIONAL INFORMATION

You may also provide contact information on the recipients of your deliveries, such as their email addresses, business addresses and contact numbers. This information is stored on our control software (Journease) and our Accounts software (Xero) for proof of delivery purposes and to comply with Tax legislation.

INFORMATION RELATED TO THIRD-PARTY SERVICES

Depending on the type of delivery, we will sometimes place work with third party suppliers. If this is sameday delivery, all information is processed via our in-house software (GDPR compliant) and deleted immediately the ‘consignment delivery’ has been completed. If the delivery is next day UK or international information this information is retained for proof of delivery purposes and to comply with Tax legislation.

PAYMENT AND CARD INFORMATION

Some payments and transactions (e.g. credit or debit card) are with third parties. If you use this feature, you must provide certain information for identification and verification, such as your name, credit, debit or other card number, card expiration date, and CVV code. This information is encrypted via our card network, without exposing your card number. For proof of payment, we store the last four digits of your card number and your card issuer’s name and contact information. We do not store your transaction history, however third-party payment processors may retain this information in accordance with their own privacy policies and terms.

INFORMATION WE RECEIVE FROM YOUR USE OF OUR SERVICES

Your account history holds data to estimate a variety of metrics such as the number of deliveries you make, distances travelled, location collected from and delivered to, purchase order numbers, and contact data – your name, company name and address, email, phone number.

As a one-off client this ‘delivery’ data is held for 6 months for proof of delivery verification. Regular clients’ data is held for as long as you are a regular user. Payment data is held for as long as required under UK tax legislation. If you cease to be a regular user, you can ask us to delete your ‘delivery’ data by contacting us at privacy@grabbitandrun.com

We may use Services which include features that use precise location data, including GPS signals. We do not retain this type of data.

USAGE INFORMATION

When you access or use our Services, we receive certain usage data. This includes information about your interaction with our Services, for example, when you book deliveries, this might be sameday delivery or overnight delivery or international delivery.

OTHER SPECIAL CATEGORIES OF PERSONAL DATA

To the extent that information we collect is business data or another special category of personal data subject to the European Union’s General Data Protection Regulation (“GDPR”), we ask for your explicit consent to process the data. In the majority of instances this is no more than your name, e-mail, business address and contact number. We obtain this consent when you take actions leading to our obtaining the data. You can withdraw your consent at any time, including by asking us to delete your data or your account by contacting us at privacy@grabbitandrun.com

HOW WE USE INFORMATION

We use the information we collect for the following purposes.

Accessing and Exporting Data.

If you choose to delete your account, please note that while most of your information will be deleted within 30 days, it may take up to 90 days to delete all your information, and other data stored in our backup systems, such as your company name and transactions which have taken place will be retained to comply with financial legislation.

Objecting to Data Use. You can control your data use. For example, by contacting us at privacy@grabbitandrun.com, you can limit how your information is visible to third party suppliers; limit the contacts you receive from us; and revoke the access of third-party applications.

We also keep information about you and your use of the Services for as long as necessary for our legitimate business interests, for legal reasons, and to prevent harm, including as described in the How We Use Information and How Information Is Shared sections.

SERVICES PROVIDED BY OTHERS

We work with partners who provide us with services such as support work on same-day delivery, next day delivery in the U.K. and Internationally. These companies may use cookies and similar technologies to collect information about your interactions with the Services and other websites and applications.
